Head of Circulation and Reference
POSITION SUMMARY:
Provides oversight of all circulation services, manages and leads the circulation staff, supports library patrons with research and information needs, manages the library’s volunteer program, and performs additional duties as assigned. The position plays a key role in providing excellent customer service to a large and diverse demographic of library users, ensuring an inclusive and welcoming environment for individuals of all ages and backgrounds.

- Reports to the Library Director.
- Supervises circulation staff and library volunteers.
ESSENTIAL DUTIES & RESPONSIBILITIES
Essential duties and responsibilities may include, but are not limited to, the following:
- Supervise and perform all circulation activities, including issuing library cards, managing lost material fines, answering phones, routing calls, data entry, and maintaining records.
- Oversee nightly closing procedures for the building, including securing cash drawers, locking all entrances, and completing end-of-day system coding.
- Instruct, supervise, train, and evaluate circulation staff performance.
- Oversee circulation staff scheduling and desk coverage, ensuring efficient staffing and continuity of service.
- Collaborate closely with Library Security and other Department Heads to oversee building security, address significant staff and patron concerns, and manage facility requirements in the absence of the Library Director.
- Consistently manage and resolve employee and patron conflicts, escalating them to the Director when necessary.
- Develop circulation and customer service procedures contributing to policy development.
- Curate and manage rotating monthly book displays.
- Coordinate the library's volunteer program, including community service volunteers.
- Provide reference and information services to patrons, assisting with locating resources and using library materials.
- Ensure materials are shelved and organized appropriately.
- Oversee the Reference Desk, which includes managing nine public computers, and providing basic computer and printer troubleshooting for patrons.
- Prepare monthly notes (if any) for the Library Director to present at staff meetings and organize and facilitate circulation meetings as needed.
- Perform additional duties as assigned.
QUALIFICATIONS:
- Broad-working knowledge of library operations.
- Demonstrates proficiency with Windows 11, Microsoft Office, multiple library software’s, standard office technology, and can recognize when to escalate significant IT issues to the Technology Liaison.
- Strong supervisory skills, including training, staff motivation, and performance evaluation.
- Excellent communication skills—verbal and written.
- High level of customer service and conflict resolution skills.
- Works closely with Library Security and Library Director to ensure a safe and welcoming environment for staff and patrons.
- Ability to work collaboratively with staff and volunteers.
- Comfortable presenting or speaking before groups.
EXPERIENCE & EDUCATION:
- A combination of training and experience that demonstrates the necessary knowledge and skills required.
- Minimum of two years of library customer service experience, including supervisory and staff training responsibilities required.
- MLS/MLIS degree (completed or actively in process) from an ALA-accredited institution preferred.

- Tuesday 9:30-6:00
- Wednesday 11:30-8:00
- Thursday 11:30-8:00
- Friday 9:30-6:00
- Saturday 9:30-3:00 (Closed @ 1 in July & August)
